The short answer
A filing review starts with the reporting period, covered units, distance and fuel records. Prepare the source evidence and identify gaps before working from summary totals.
Build a usable review package
Our recommended review package separates vehicle inventory, distance records, fuel evidence, previous returns and open questions. It is an organizing aid; your base jurisdiction specifies the records required to support the return.
Document gaps rather than guessing
List missing trips, duplicate fuel transactions, unknown unit assignments and conflicting dates. Keep original exports and an explanation of any correction. Ask the filing reviewer how to resolve unsupported figures.
Confirm the period and account obligations
Oregon requires active IFTA licensees to file even for no-operation or no-tax-due periods. Check the instructions for the actual base state and period; do not infer that an empty activity report means no filing is needed.
What to prepare
- Quarter and complete unit list, including additions and removals.
- Original distance exports or trip records by jurisdiction.
- Fuel receipts and available fuel-card records.
- Previous return, payment and agency-notice records.
What can delay or complicate the work
- Different units appearing in fuel and distance exports.
- Records for the wrong quarter or an incomplete date range.
- A summary that cannot be reconciled to source evidence.
A practical review sequence
- Identify the exact request, entity and period.
- Compare available records and list missing facts.
- Agree on the supported work, permissions, provider steps and fees.
- Retain completion evidence and unresolved follow-up.
