The short answer

Audit preparation means finding the requested evidence, identifying gaps and documenting follow-up. It does not mean a provider can guarantee an audit result.

Read the actual request

Identify the legal entity, review period, records requested and response instructions. Use the notice to build the working checklist rather than sending an unstructured folder.

Build a record map

FMCSA’s New Entrant program includes monitoring and safety audits. Our suggested preparation map separates carrier credentials, driver records, testing, hours of service, vehicle inspections/maintenance and the specific records requested.

Track corrections honestly

List missing or inconsistent evidence, its owner and the next action. Preserve original records and distinguish a present correction from evidence that should have existed earlier. Never backdate or invent records.

What to prepare

What can delay or complicate the work

A practical review sequence

  1. Identify the exact request, entity and period.
  2. Compare available records and list missing facts.
  3. Agree on the supported work, permissions, provider steps and fees.
  4. Retain completion evidence and unresolved follow-up.

SafePass’s role

SafePass can review a request and scope supported administrative preparation, record organization or provider coordination. Availability is confirmed for the service and jurisdiction. The employer, qualified provider and responsible agency retain their own decisions and duties.
